
Most business owners know they should have a disaster recovery and business continuity plan. The harder question is whether that plan is current, complete and has actually been tested.
For businesses on the Treasure Coast and in the Palm Beaches, disaster preparedness often brings hurricanes to mind first. But a business disruption can just as easily come from ransomware, a server failure, an extended internet outage, a compromised Microsoft 365 account, accidental data loss or the sudden unavailability of a critical cloud application.
The challenge isn’t always convincing business leaders that they need to prepare. Sometimes it’s simply finding the time to build and maintain the plan.
This is one area where artificial intelligence can be surprisingly useful.
AI tools such as Microsoft Copilot and ChatGPT can help businesses organize information, create first drafts, identify questions and turn scattered knowledge into something a team can actually work with. But there’s an important distinction: AI can help you create and improve a disaster recovery plan. It cannot tell you whether that plan will actually work.
Used correctly, AI can make preparedness planning much easier. Here are five ways businesses can put it to work.
1. Use AI to Document Important Business Processes
One of the biggest vulnerabilities in many small and midsize businesses isn’t technology at all. It’s knowledge that exists only in someone’s head.
What happens if the employee who handles payroll, manages a critical application or communicates with an important vendor isn’t available during an emergency?
AI can make documenting these processes much faster.
Instead of asking an employee to sit in front of a blank document and write a procedure from scratch, start with the information you already have. Rough notes, meeting summaries and existing procedures can potentially be organized into a clearer first draft.
AI can help turn that information into step-by-step instructions, identify areas that need clarification and create a more consistent format across your company’s documentation.
There is an important security consideration, however. Employees should never paste confidential company information, passwords, client data, protected information or other sensitive material into a public AI tool without understanding how that tool handles company data.
That’s one reason businesses should establish an AI acceptable use policy and choose approved AI platforms before encouraging employees to use these tools for business purposes.
2. Create First Drafts of Emergency Checklists and Response Playbooks
When something goes wrong, people don’t want to read a 40-page disaster recovery document. They need to know what to do next.
AI can help create first drafts of simple response checklists for different scenarios.
What should employees do if they suspect a phishing attack? Who needs to be contacted if the office loses internet access? What are the first steps after ransomware is discovered? How should leadership communicate with employees if Microsoft 365 is unavailable? What should happen if a hurricane makes the office inaccessible?
These are excellent starting points for AI-assisted planning.
The important words are starting points.
AI doesn’t automatically know your network, vendors, employees, regulatory requirements, backup environment or business priorities. A generic ransomware response generated by AI is not an incident response plan. A hurricane checklist isn’t a business continuity strategy simply because it looks polished.
Use AI to get past the blank page. Then have the appropriate people—including your leadership and IT teams—review, customize and approve it.
3. Use AI to Find Questions You Haven’t Thought to Ask
Sometimes the hardest part of disaster recovery planning is knowing what you don’t know.
This is an area where AI can be very helpful.
Try asking questions such as, “What should a 50-employee law firm consider in a business continuity plan?” or “What problems could a manufacturing company experience during an eight-hour internet outage?”
You can also ask, “What questions should I ask my IT provider about our disaster recovery plan?” or “What are commonly overlooked risks in a small business ransomware response plan?”
AI may surface dependencies or scenarios your leadership team hasn’t considered.
Maybe your company has backup internet but your VoIP phones still depend on another service. Perhaps your files are backed up but nobody has considered what would happen if employees couldn’t authenticate into Microsoft 365. Maybe one cloud application is so critical that losing access for a day would prevent employees from serving customers.
AI won’t necessarily know whether those risks apply to your specific organization, but it can help your team ask better questions.
4. Translate Complicated IT Information Into Plain English
Technology reports can be difficult for business leaders to interpret.
Your IT team may provide information about backup jobs, endpoint security, identity protection, Microsoft 365 configurations, recovery objectives or network vulnerabilities. The information may be accurate, but that doesn’t necessarily mean a business owner knows what decision needs to be made.
AI can help translate technical information into more understandable language.
For example, you might use an approved AI tool to summarize a technical report, explain unfamiliar terminology or generate questions to discuss with your IT provider.
This is one of the most valuable ways businesses can use AI: not necessarily to make the decision, but to help leaders better understand the information behind the decision.
AI can explain what RTO and RPO mean. Your IT provider needs to help determine whether your actual recovery time objective and recovery point objective are realistic for your business.
Those are two very different responsibilities.
5. Keep Your Business Continuity Documentation Current
A disaster recovery plan shouldn’t be something you create once, save in a folder and forget about.
Businesses constantly change.
Employees leave. New employees are hired. Vendors change. Applications move to the cloud. Phone systems are replaced. New cybersecurity tools are introduced. Companies adopt AI. Offices move. Responsibilities shift.
A recovery plan written two years ago could contain phone numbers that no longer work, employees who no longer work for the company and instructions for systems you don’t even use anymore.
AI can make reviewing documentation more manageable.
It can help compare an older procedure with newer notes, reorganize information into a consistent format or identify sections that may need to be reviewed.
Your team still needs to verify every important detail. But instead of rewriting an entire document every year, AI can help make the maintenance process much more efficient.
What AI Can’t Do for Your Disaster Recovery Plan
This may be the most important part of the conversation.
AI can help you write a beautiful disaster recovery plan.
It cannot unplug your server and prove your backup works.
It cannot confirm that your company could restore its critical systems within the amount of time leadership expects.
It doesn’t automatically understand which applications generate your revenue, which vendors are truly critical or how long your customers will tolerate an interruption.
And during an actual cybersecurity incident or major outage, your business needs experienced people making decisions—not an AI-generated checklist operating without context.
That’s why testing remains essential.
A business continuity or disaster recovery plan isn’t successful because the document looks comprehensive. It’s successful when the systems, people and processes behind that document have been verified.
AI and Your IT Provider Should Play Different Roles
AI can make preparedness planning faster. Your IT partner makes it real.
